Inside Sales Specialist
Status: Salary, Exempt
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Reports to: Management
Compensation: $50,000+ annually
Position Summary
The Inside Sales Specialist provides integral support in both pre- and post-sale efforts, with a strong focus on driving spare parts sales through superior customer service. This role serves as the primary point of contact for customer inquiries, preparing timely and accurate quotes, processing sales orders, and providing order status updates. Daily objectives center on clear, accurate communication and efficient order management to ensure customers receive the correct materials and information. The position also includes administrative responsibilities that contribute to the overall success of the sales team and organization. Communication is conducted primarily via phone, email, and online platforms.
Core Responsibilities
Sales – Parts Quotations

Respond promptly and professionally to Requests for Quotations (RFQs).

Provide comprehensive quotes with recommended parts, pricing, lead times, delivery schedules, and applicable terms.

Maintain accurate part numbers, pricing, and customer details in the ERP system.
Sales – Parts Orders

Receive and validate customer purchase orders for accuracy and completeness.

Prepare and issue sales order confirmations using the customer’s preferred method.

Coordinate with warehouse/materials management to meet delivery requirements.

Monitor delivery dates and communicate changes or delays to customers.

Maintain open order reports and enforce company terms and conditions.
Administrative Support

Communicate effectively with all stakeholders, including internal and external logistics teams.

Maintain orderly and accurate files in the ERP system.

Investigate and resolve customer delivery or shipping issues.

Collaborate with accounts payable and receivable to resolve pricing discrepancies.

Prepare reports as required and provide backup support to colleagues.

Qualifications

High school diploma or GED required; associate’s degree preferred.

Strong computer, written, and verbal communication skills.

Prior experience delivering excellent customer service.

Experience with ERP software (Oracle/SAP/Microsoft Dynamics preferred).

Strong organizational and time management skills.

Ability to pass pre-employment screening requirements.
